Introduction

In order to maintain our virtual airline in a structured, fair, clear, and respectful manner, it is unfortunately necessary to have regulations. We ask all our users to take note of these regulations and follow their content. If everyone adheres to these rules, it will remain a pleasant and professional environment to pursue our hobby at a high level.
‘The registrans’ is referred to as ‘the pilot’ in the regulations.

Article 1 | Acceptance Policy

    To become a member, the pilot must be at least 16 years old. Are you younger? No problem, but always ask permission from your parents. We do not check this, as we do not ask for the date of birth of our members.

    It is not mandatory to be a member of the online networks IVAO and/or VATSIM. However, we do verify the skill level of the pilot. That means that we require at least 30 hours of online flying experience. If this cannot be demonstrated, it may be necessary to take a practical exam through a ‘Linecheck’.

    The pilot has a good basic knowledge of the English language. He/she can communicate clearly, understandably, and politely with fellow users of the flight simulator community.
  • 4
    The pilot has good knowledge of aviation jargon, as well as IFR radio communication procedures. He/she can communicate clearly via microphone or otherwise via text with other users in an online setting.

    When the pilot is flying for one of the divisions, he/she has good knowledge of the aircraft he/she decides to fly. ‘Getting to know’ the aircraft cannot be logged. This must be done in advance. We can of course help with this.
  • 6
    The pilot has successfully passed the ‘First Officer Assessment’ exam and achieved a score of at least 70%. The exam may only be retaken once every 14 days after the first attempt.

Article 2 | Retention of Membership

    To remain active, the pilot must perform a flight at least once every 28 days.
  • 2
    After 28 days of inactivity, the account automatically gets suspended by VAMSYS. You will have recieved several warnings per e-mail prior to that moment.

    Your account may be reinstated upon request by the CEO or ACEO (or in absence an other member of staff).
  • 4
    When a pilot becomes inactive multiple times, the staff may decide to permanently remove the account from our server.
  • 5
    Should there be a VAMSYS broad issue concerning your membership (banned from the platform), we can not reinstate nor debate on your behalf regarding this matter. This is out of our hands.
  • 6
    KLM Transavia Virtual has a zero-tolerance policy towards discrimination and/or bullying. Depending on the severity of the offense, the membership can be terminated immediately. Until a decision is made, the account remains suspended.
  • 7
    Discrimination that can be proven can also be reported to the discrimination reporting point of the Dutch police. Data on our servers can be used to support the report. This also goes for the Discord community server.
  • 8
    Suspension or banning from platforms outside of our virtual airline do not necessarily have to be fully adopted. Based on reasoning, it can be decided not to go along with this.

Article 3 | Operations

      The pilot can switch between divisions at any time. He/she is not required to conform to a specific airline.
    • 2
      Realism and professionalism are important to us. The pilot must perform realistic flights with integrity.
      For example: A transatlantic flight is usually not flown with an Embraer or small Boeing 737. We do expect our pilots to make realistic choices when commencing a flight.
      1. a Using time acceleration is not allowed! Flights logged using time acceleration will be subject to review and rejection.
        b Flying intercontinental flighs with smaller aircrafts such as Embraers, Boeing 737’s or the smaller Airbusses are not allowed, unless specified specifically (e.g. in an event).
        c Flying european flighs with bigger aircrafts such as Boeing 787’s and 777’s or Airbus A330’s (or sizes of simillar proportions) are not allowed, unless specified specifically (e.g. in an event). The exemption is made for KLM Cargo flights using a Boeing 747 Freighter. They might perform shorter legs.

      KLM Transavia Virtual has three main HUB airports for maintenance: Amsterdam Schiphol Airport, Rotterdam/The Hague Airport and Eindhoven Airport. The pilot must fly to or from a maintenance HUB at least once every 6 flights, unless it is a route from the timetable (such as the Jakarta – Manila – Jakarta shuttle). We do have maintenance contracts in the U.S. aswell for domestic U.S. flights. Flying for Transavia France will allow pilots to fly from Paris Orly Airport as well as other foreign HUBs in France.
      This allows the pilot to perform a ‘triangle flight’. Any tours or events are exempt from this rule.

      Due to the emergence of apps such as ‘Simbrief’ and monthly changing AIRAC cycles, we ask our pilots to take care of correct routes and a flight plan/load sheet themselves.

      Just like in real life, the pilot is personally responsible for executing a safe flight. He/she is responsible for checking the route, fuel, and payload.

      In case of unrealistic ‘misuse’ of our systems, we may decide to suspend the account pending a conversation. We assume that we all strive for a real-life simulation of the divisions within our VA.

Article 4 | KLM Transavia Virtual as ‘a brand’

    It is not allowed for anyone to publish or distribute KLM Transavia Virtual’s data, logos, or other intellectual property without the CEO’s permission. As this virtual airline is based on a real airline. It’s logo’s are not owned by this organisation. Therefor publicating any items containing intellectual property of either KLM or Transavia is always at own risk/responsability.

    Systems may be shown in live-stream flights, but we request that you include a name credit in your video description.
  • 3
    This virtual organization is for the purpose of a flight simulator. Therefore, we do not own any airline-related intellectual property. We act with integrity when it comes to simulating a truthful situation.

Usage of our services

When u apply to be a part of this virtual airline we ask you to share some basic personal details. These are needed in order to provide our service to you. The data is stored on the servers of Duijff Media. Sven Duijff (the CEO and founder of this website) is the owner of this company. He can therefor assure the data is stored in a safe matter. We will not combine your data with other personal data we may have pocession of.

Communication

When u send us an e-mail of other message (throug a form for instance), it may be possible we store and save these e-mails for a while. Sometimes we ask you for personal details that we need in order to process your request.

Cookies

We collect data for research purposes to get a better insight in our members. This is only done to improve the user experience for our website. We can see where members get stuck or might have trouble finding items. This website uses “cookies” (textfiles that are stored on your PC, so not on our end) to help the website analyse how you use it. It stores some of your preferences. Those preferences can be shared to our server in order to make sure we keep your experience up-to-date. We would never share or sell this data to third party companies.

Purposes

We would not collect data for any other purpose then mentioned in this policy, unless when asked specific permission.

Our data is not shared with third parties. In some ocassions information might be shared internally. Our staffmembers are however obligated to treat your data with integrity and care.

Rather follow written steps?

  1. Go to our website (you are already there when reading this page).
  2. Visit the homepage and scroll down until you see a map with destinations, then hit the button on the left side that says ‘Join us here!’.
  3. A new tab will pop up showing the registration form on VAMSYS. Fill out this form and click ‘Register’.
  4. You will now receive a few emails; one asking you to confirm your email address (only if you are not using another VAMSYS account already) and one notifying you that the application is now under review.
  5. When a member of staff has approved your application, you are successfully registered.

You may now log on to the website and start your first flight. Instructions for your first flight are listed below.

Installing Pegasus

Installing Pegasus is very easy:
  1. Go to the VAMSYS website. You can use the ‘Crew Centre’ button on the top right side of this website.
  2. Now go to ‘Resources’ > ‘Pegasus ACARS’. Here you can download the latest version of the program.
  3. Launch the installer and follow the steps in your screen.
  4. Login using the same credentials as you would use to login onto the Crew Centre.
  5. In the settings you can optionally use the custom announcements. If you are using the custom announcements made for Fenix, you need to disable the option in Pegasus. If not, you would hear double announcements.
  6. Enjoy using the software.

Booking a Flight

Booking a flight requires a few steps.

Want to use Simbrief by Navigraph? Follow these steps first:

  1. Go to the VAMSYS website. You can use the ‘Crew Centre’ button on the top right side of this website.
  2. On the top right side of the Crew Center click on your account name and then on ‘My VAMSYS account’. This will open another page that might ask you for your password.
  3. On the left hand side of your screen click on ‘Social, Online & 3rd Party’.
  4. Click on ‘Link Navigraph’ and follow the login and authorization steps.
  5. Your Simbrief is now connected to your VAMSYS account.

We can now proceed to book a flight:

  1. Go to the VAMSYS website again.
  2. Navigate to ‘Flight Centre’ > ‘Book Flight Map’ (or ‘Flights From ICAO’ if you prefer a list style).
  3. On the map choose a destination of choice. U may use filters on the top right of the map to narrow down your options.
  4. You can use the ‘Jumpseat’ function to move to another destination right away. If you want to fly a route click on ‘Dispatch Flight’.

    The next part is about the booking specifics…

  5. Select a flight of choice and select the aircraft you want to fly with.
  6. You are now redirected to the initial setup page. Fillout and change any of details you like and hit ‘Create Booking’ at the bottom of the page.
  7. The booking is now created. If you are using Simbrief a flightplan is now also generated automatically.
  8. You can now launch the sim (and all the addons you’d like to use), start the Pegasus software and start logging your flight.

Logging Your Flight

  1. Launch the Pegasus software.
  2. If not logged in, login using the same credentials u used on the website.
  3. If you are using the custom announcement package we have created for the Fenix Airbus add-on, please go to your settings and disable the custom announcements coming from Pegasus.
  4. If you have booked a flight, it should now be visible in the sofware. Simply click on it and start logging your flight by hitting ‘Start Flight’.
  5. At the end of your flight, engines off and on blocks at the gate, you can end the flight and sent it to our website.
  6. Your flight is now logged!

Direct Entry Candidate Second Officer

Every pilot who signs up for our virtual airline is given the rank of ‘Cadet’ (one silver stripe). There is a way to skip the training program by completing a ‘Direct Entry to Candidate Second Officer’ checkflight.

By performing this checkflight, you can prove to us that you are capable of skipping the training program and immediately start as an ‘Candidate Second Officer’ (one golden stripe). This checkflight is available under ‘Events’ in our Crew Centre, where you can filter the event by selecting ‘CHECKFLIGHT’. Here you will also read the required skills you need to possess in order to advance to this rank directly.

Professional Career

Are you a pilot who wants to simulate a full career path? Then we have made a program specially for you!

This program will give you training from Groningen Eelde Airport and Lelystad Airport using the Diamond DA40 and DA42. You will learn the basics of flight and perform two exams. After passing the two exams you will achieve the rank of ‘Candidate Second Officer’.

KLM Flight Academy

The KLM Flight Academy (also known as the KLS) is based of the real life KLM training program. The KLM Flight Academy was established in 1963 as a response to the growing need for qualified pilots in the aviation industry. KLM recognized the importance of training skilled aviators to ensure the safety and efficiency of its operations. Initially, the academy focused on training pilots exclusively for KLM, providing them with a structured curriculum that combined theoretical knowledge and practical flight experience.

Throughout the 1980s and 1990s, the academy expanded its offerings to include a broader range of training programs. This included courses for co-pilots, flight instructors, and other aviation professionals. The KLM Flight Academy developed a reputation for high-quality training standards and a strong emphasis on safety and operational excellence, aligning with KLM’s commitment to maintaining its position as a leading airline.

In the 2000s, the academy embraced new technologies and methodologies in pilot training. The introduction of advanced flight simulators (the famous CAE training facility near Schiphol) and e-learning platforms enhanced the training experience, allowing pilots to practice complex scenarios in a controlled environment. They also began to collaborate with various international aviation organizations and educational institutions, broadening its reach and influence in the global aviation community. They also started to train and educate Transavia pilots.

Today, the KLM Flight Academy continues to be a prominent institution for pilot training in Europe. It offers various programs, including integrated and modular training paths, catering to aspiring pilots from different backgrounds. The academy is known for its rigorous selection process, high standards of instruction, and a strong focus on preparing pilots for the challenges of modern aviation.

In recent years, the KLM Flight Academy has also started to incorporate sustainability into its curriculum, reflecting KLM’s broader commitment to reducing its environmental impact and promoting sustainable aviation practices.

Outbound leg | Amsterdam Schiphol Airport (EHAM / AMS) to London Heathrow (EGLL / LHR)
  • On this leg you will fly to London with passengers. It is operated as a normal flight.
  • A manual landing is mandatory on this leg. This means your autopilot must be disengaged below 2.000 ft AGL (1.900 ft AGL is rejected).
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
Homebound leg | London Heathrow (EGLL / LHR) to Amsterdam Schiphol Airport (EHAM / AMS)
  • On this leg you will fly back to Amsterdam with passengers. It is operated as a normal flight.
  • A full autoland is mandatory on this leg. This means your autopilot must be engaged all the way untill touchdown.
    In case of a go-around, please reconfigure the aircraft and perform another full autoland.
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
A few additional items are mandatory in order to pass the checkflight (we cannot be flexible on these items):
  • Using time acceleration or pausing the simulator (for more then 5 seconds) is not allowed;
  • Manual PIREPS or a claim will not be accepted due to the nature of this checkflight;
  • Your landing rate on all legs should lie between -25ft/min and -350ft/min;
  • This checkflight can only be flown once per pilot. Should you need another atempt, please contact us at ops@klmtransavia-virtual.com.

Only when you meet all the above mentioned criteria you will be awarded the bonuspoints needed to advance to Second Officer in Training (one golden stripe).

Checkflight – Jr. First Officer (KLM)

🛫 Return flight Amsterdam – Bergen (Norway)
🕐 The checkflight duration is based on the flight time of your sectors
📡 Review based on your PIREP, no examiner needs to be present during the flight

Outbound leg | Amsterdam Schiphol Airport (EHAM / AMS) to Bergen (ENBR / BGO)
  • On this leg you will fly to Bergen in Norway with passengers. It is operated as a normal flight.
  • A manual landing is mandatory on this leg. This means your autopilot must be disengaged below 2.000 ft AGL (1.900 ft AGL is rejected).
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
Homebound leg | Bergen (ENBR / BGO) to Amsterdam Schiphol Airport (EHAM / AMS)
  • On this leg you will fly back to Amsterdam with passengers. It is operated as a normal flight.
  • A full autoland is mandatory on this leg. This means your autopilot must be engaged all the way untill touchdown.
    In case of a go-around, please reconfigure the aircraft and perform another full autoland.
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
A few additional items are mandatory in order to pass the checkflight (we cannot be flexible on these items):
  • Using time acceleration or pausing the simulator (for more then 5 seconds) is not allowed;
  • Manual PIREPS or a claim will not be accepted due to the nature of this checkflight;

Checkflight – Captain (KLM)

🕐 The checkflight duration is based on the flight time of your sectors
📡 Review based on your PIREP, no examiner needs to be present during the flight

Outbound leg | Amsterdam Schiphol Airport (EHAM / AMS) to Madrid Barajas Airport (LEMD / MAD)
  • On this leg you will fly to Madrid with passengers. It is operated as a normal flight.
  • On your minimums you should fly a mandatory go-around. After the go-around you should plan another approach for Madrid.
  • A full autoland after the initial go-around is mandatory on this leg. This means your autopilot must be engaged all the way untill touchdown.
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
Homebound leg | Madrid Barajas Airport (LEMD / MAD) to Amsterdam Schiphol Airport (EHAM / AMS)
  • On this leg you will fly back to Amsterdam with passengers. It is initially operated as a normal flight.
  • On your minimums you should fly a mandatory go-around. After the go-around you should plan a diversion to Brussels Zaventem Airport (EBBR / BRU).
  • Diverting to another airfield besides Brussels is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
A few additional items are mandatory in order to pass the checkflight (we cannot be flexible on these items):
  • Using time acceleration or pausing the simulator (for more then 5 seconds) is not allowed;
  • Manual PIREPS or a claim will not be accepted due to the nature of this checkflight;
  • Your landing rate on all legs should lie between -25ft/min and -350ft/min;
  • This checkflight can only be flown once per pilot. Should you need another atempt, please contact us at ops@klmtransavia-virtual.com.
Only when you meet all the above mentioned criteria you will be awarded the bonuspoints needed to advance to Captain (four golden stripes).   • A manual landing is mandatory on this leg. This means your autopilot must be disengaged below 2.000 ft AGL (1.900 ft AGL is rejected).
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
Homebound leg | Barcelona El Prat (LEBL / BCN) to Amsterdam Schiphol Airport (EHAM / AMS)
  • On this leg you will fly back to Amsterdam with passengers. It is initially operated as a normal flight.
  • A full autoland is mandatory on this leg. This means your autopilot must be engaged all the way untill touchdown.
    In case of a go-around, please reconfigure the aircraft and perform another full autoland.
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
A few additional items are mandatory in order to pass the checkflight (we cannot be flexible on these items):

Outbound leg | Amsterdam Schiphol Airport (EHAM / AMS) to Innsbrück Airport (LOWI / INN)
  • On this leg you will fly to Innsbrück with passengers. It is operated as a normal flight.
  • A manual landing is mandatory on this leg. This means your autopilot must be disengaged below 2.000 ft AGL (1.900 ft AGL is rejected).
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
Homebound leg | Innsbrück Airport (LOWI / INN) to Amsterdam Schiphol Airport (EHAM / AMS)
  • On this leg you will fly back to Amsterdam with passengers. It is initially operated as a normal flight.
  • A full autoland is mandatory on this leg. This means your autopilot must be engaged all the way untill touchdown.
    In case of a go-around, please reconfigure the aircraft and perform another full autoland.
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
A few additional items are mandatory in order to pass the checkflight (we cannot be flexible on these items):
  • Using time acceleration or pausing the simulator (for more then 5 seconds) is not allowed;
  • Manual PIREPS or a claim will not be accepted due to the nature of this checkflight;
  • Your landing rate on all legs should lie between -25ft/min and -350ft/min;
  • This checkflight can only be flown once per pilot. Should you need another atempt, please contact us at ops@klmtransavia-virtual.com.
Only when you meet all the above mentioned criteria you will be awarded the bonuspoints needed to advance to Captain (four golden stripes). Please note that beside the points given through this checkflight, you still need the 🕐 50 flight hours and 💯 7.500 basic points in order to recieve the actual rank increase.

Outbound leg | Rotterdam / The Hague Airport (EHRD / RTM) to Madrid Barajas Airport (LEMD / MAD)
  • On this leg you will fly to Madrid with passengers. It is operated as a normal flight.
  • On your minimums you should fly a mandatory go-around. After the go-around you should plan another approach for Madrid.
  • A full autoland after the initial go-around is mandatory on this leg. This means your autopilot must be engaged all the way untill touchdown.
  • Diverting to another airfield is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
Homebound leg | Madrid Barajas Airport (LEMD / MAD) to Rotterdam / The Hague Airport (EHRD / RTM)
  • On this leg you will fly back to Amsterdam with passengers. It is initially operated as a normal flight.
  • On your minimums you should fly a mandatory go-around. After the go-around you should plan a diversion to Amsterdam Schiphol Airport (EHAM / BRU).
  • Diverting to another airfield besides Amsterdam is not allowed. If this is needed for whatever reason, a new checkflight needs to be scheduled.
A few additional items are mandatory in order to pass the checkflight (we cannot be flexible on these items):
  • Using time acceleration or pausing the simulator (for more then 5 seconds) is not allowed;

VAMSYS is currently the largest provider of flight logging services for virtual airlines. We use this system because it offers a stable and growing platform. They are continually expanding their services and options, which helps us grow and develop at the same time. In this section of the knowledge base, we provide a brief explanation of some of the main frontend functionalities. However, VAMSYS has also published their own manuals, which are very extensive. PIREPs


This page will show you your PIREPs. You can search for specific PIREPs by using the filters. By clicking on the eye icon next to a PIREP you can view the details of a specific flight. It will then also show you the route flown, altitutes, etc.

Preferences


This page will show you some very basic preference settings. Here you can also book a holiday. This function will allow you to freeze your activity rules for a period of time allowing you to not fly for a longer period. Rules regarding this topic are mentioned in our Rules & Regulations. You need to be an active pilot in order to apply for a holiday.
